Who you are:

Detail oriented is an understatement and nothing slips by you. You’re a self-starter who loves systems, processes, and tracking deadlines and are always looking for ways to improve efficiencies for both you and your team. You have a deep understanding of the real estate transaction process from contract to close and are deeply familiar with the complexities and nuances of real estate contracts. On top of all that, you love interacting with people and are known for being an extremely thorough and effective communicator.

What you’ll do:

As our dedicated Transaction Coordinator, you’ll be the chief complianceofficerfor all transactions secured by our team. You’ll act as a liaison between our team and other parties to the transaction – including the client, escrow, lender, and our Windermere brokerage – ensuring that everything is documented, delivered, and files are complete. You’ll track key timelines for each sale plus provide relevant and timely updates from lenders, agents, and escrow alike to our team and clients.

Role:

  • Flexible work environment (home, in office, and occasionally in the field)

  • Some client interaction but no sales

Responsibilities:

  • Audit PSA for missing paperwork and/or signatures
  • Communicate relevant dates and deadlines to all parties
  • Open escrow and request updated title
  • Assist buyers with collecting instructions for depositing earnest money
  • Ensure our Windermere brokerage has a complete transaction file
  • Maintain our internal OneDrive database to ensure we have a complete transaction file
  • Act as a liaison between our team, escrow, lenders, our brokerage, and clients, providing weekly transaction updates
  • Track key milestones and deadlines throughout the transaction
  • Draft and collect signatures on addenda as needed
  • Review and approve CDF
  • Review settlement statements for accuracy
  • Maintain internal transaction reporting systems
  • Coordinate any pre-closing vendor needs like landscaping and cleaning
  • Update NWMLS Status
  • Update client records in our CRM database
  • Deliver final settlement statement to client upon closing
  • Identify areas for improved efficiency and/or increased service offering to our clients

Required Skills & Expectations:

  • Highly organized and detail oriented
  • Master multi-tasker who can adapt quickly to ever-changing daily priorities
  • Washington Real Estate License
  • Real Estate Industry Experience
  • Skilled communicator both in person and in writing
  • Familiarity with Microsoft™ O365 suite
  • Excellent customer service and interpersonal skills
  • Thrive in a fast-paced, team environment
  • Expert in navigating the NWMLS, Transaction Desk, and AuthentiSign
  • Able to easily learn new systems and processes
